When an incident hits, whether it is severe weather near a project site, unrest in a city where your staff are working or an alert from someone working alone, the teams that cope best are the ones that follow a clear plan from the first minute. Vismo’s crisis and incident management software turns your standard operating procedures into guided workflows, so whoever is on shift can find out who is affected, ask them if they are safe and keep a timestamped record of every decision.

Talk to our crisis and incident management team

Vismo Workflows brings your response procedures, real-time location and mass notification together in one place, so your team spends less time chasing information and more time helping people.

How a crisis and incident workflow runs

Four stages take you from a written procedure to a recorded response.
1

Build

Drag steps onto the canvas, link them and add decision points. Name the outcomes for each step, such as Safe or Not safe, and send each one somewhere different.
2

Publish

Changes stay in draft until the workflow has been validated and published, so responses that are already running are never disturbed.
3

Start

An administrator starts the workflow, chooses who is responsible for running it and, for area-based workflows, draws the affected area on the map. The person running it is emailed straight away.
4

Record

Each step is timestamped with its outcome and the run updates live for everyone watching. Who started it, who ran it, what was decided and how it ended are all kept for review.
Once a workflow has started, finding people, messaging them and collecting their replies all happen without manual chasing.

Vismo’s crisis and incident management capabilities

Each capability below is a live part of Vismo Workflows and the wider Vismo platform.

Guided steps and decisions

Give the person running a response clear instructions at every step. Custom outcomes let each decision branch to a different next step, so the workflow follows your procedure rather than a fixed script.

Find everyone in an affected area

Draw a shape or radius on the map and Vismo finds everyone whose recent location falls inside it, using the same employee tracking and geofencing your team already relies on. Knowing where your people are in relation to an incident is what Vismo does best.

Safety checks on every channel

A mass notification step sends your message with set reply options and works through SMS, email, phone call and in-app messages in the order you choose, with a set delay between each.

One-tap replies in the app

Staff see the message and the deadline for replying in the Vismo app, then choose a response such as “Yes I am safe” or “No, I require assistance”. Each reply feeds straight back into the workflow.

A complete audit trail

Every run records who started it, who ran it, each step’s outcome and time, and whether it was completed, abandoned or timed out. Replies can be collated and downloaded as a CSV report. Over time, that record shows where responses slow down, so your team can get faster.

Built around your SOPs

Start from three ready-made templates, adapt them or build your own. Vismo’s team helps you turn your existing standard operating procedures into workflows, with training guides for your administrators.

Templates and building blocks

Three templates come ready to use, and any of them can be copied and adapted.

User safety

Acknowledge an alert, contact the person, then close the alert if they are safe or refer to your procedure if not.

Mass Notify Users

Send a mass notification to a chosen group and collate their responses into a report.

Mass Notify Users in Area

Find everyone inside an area, ask them to confirm their safety and report on who replied.
Behind them are seven actions you can combine in any order. The output of one action, such as the people found in an area, feeds straight into the next.

Part of the Vismo platform

Workflows works alongside the rest of Vismo, including critical event management, emergency response, mass notification, geofencing and the Vismo Secure Portal. Your people, their locations and every message and reply sit in one system, so there is nothing to copy between tools in the middle of an incident. Vismo AI helps your team work out who is affected and what is happening before a response starts.

What is a crisis management platform?

A crisis management platform, also called crisis and incident management software, helps organizations prepare for, respond to and review disruptive events. It brings together response plans, the people involved, communication and a record of what was done. Vismo focuses on locating your people, confirming they are safe and recording every step of the response.

What is Vismo Workflows?

Vismo Workflows turns your response procedures into guided, step-by-step flows inside the Vismo portal. The person running a workflow is guided through each step, while routine tasks such as finding people in an area, messaging them and collating replies happen automatically.

How does a workflow start?

An administrator starts a workflow in the Vismo portal and chooses who is responsible for running it. For area-based workflows, they draw the affected area on the map. Once started, the automatic steps run on their own.

Can we use our own procedures?

Yes. Every organization’s standard operating procedures are different, so you can start from a template, adapt it or build your own. Vismo’s team can help you turn your procedures into workflows, and training guides are provided.

Which channels can a workflow use to reach people?

Mass notification steps can use SMS, email, phone calls and in-app messages. You choose the order and the delay before moving to the next channel.

What do staff see when they receive a message?

In the Vismo app, staff see the message, the deadline for replying and the response options. They tap a response, confirm it and can change their answer later if needed.

What is recorded after an incident?

Every run records who started it, who ran it, each step’s outcome and time, and whether it was completed, abandoned or timed out. Replies can be downloaded as a CSV report for after-action reviews.

Who uses crisis and incident management software?

Security, risk, duty of care and health and safety teams in organizations with people working away from a fixed office. Vismo Workflows is already used in the NGO sector, and suits any team that needs its response procedures followed the same way every time.

How is this different from critical event management?

Critical event management covers how you detect, monitor and respond to events that affect your people and operations. Crisis and incident management with Vismo Workflows is the part that makes your response procedure repeatable, with every step guided and recorded.

Is Workflows included in my Vismo license?

Workflows is available as an add-on to Vismo licenses. Get in touch and we can talk you through the options for your account.
